1. Acceptance of terms
These Terms & Conditions govern your use of the Paycycle website and application operated by Paycycle (Pty) Ltd ("Paycycle", "we", "us"). By creating an account or using the service, you agree to be bound by these terms.
2. The service
Paycycle is a payment platform that integrates with Xero to automate collections, supplier payments and reconciliation. We may update, add or remove features from time to time to improve the service.
3. Eligibility & Xero connection
To use Paycycle you must have a valid Xero subscription and the authority to connect that organisation. You are responsible for maintaining the security of your Xero and Paycycle credentials.
4. Mandates & collections
Mandated collections require completion of KYC/FICA verification before activation, as required by South African regulations. You are responsible for ensuring that valid mandates are in place with your customers and that collections comply with applicable rules.
5. Fees & billing
Subscription fees are billed monthly in advance. All prices are quoted excluding VAT and bank charges. The all-inclusive plan includes up to 50 collections per month and is tiered by collection volume above that; the per-transaction fee remains the same across tiers. We may revise pricing on reasonable notice.
6. Your responsibilities
You agree to use the service lawfully, to provide accurate information, and not to use Paycycle for any fraudulent or unauthorised transactions. You remain responsible for the accuracy of your accounting records.
7. Third-party services
The service relies on third parties including Xero, banking and payment partners. We are not responsible for the availability or performance of those third-party services, which are governed by their own terms.
8. Limitation of liability
To the maximum extent permitted by law, Paycycle is not liable for indirect or consequential loss. Nothing in these terms limits liability that cannot be excluded under South African law.
9. Termination
You may cancel your subscription at any time. We may suspend or terminate access where these terms are breached or where required by law or our payment partners.
10. Governing law
These terms are governed by the laws of the Republic of South Africa, and the parties submit to the jurisdiction of the South African courts.
